The step-by-step guide will consist of:
Step 1: Document Change Request (DCR) and Controls
The guide will start with document change requests (DCT) and controls. As you will see, any change to a manual is requested via a DCR, which helps Technical Publication Departments control and limit access to changes to manuals. The DCR electronically routes the request to content owners and approvers prior allowing change in the manual. Once approved the DCR can limit the editing of a manual to a specific chapter or section leaving the rest of the manual safe and in read-only mode.
Step 2: Overview (Templates; Look and Feel; Panels)
All corporate manuals can be written in PDE. Templates help users ensure that all the manuals maintain the same look and feel. No need to worry about headers, footers, pages, fonts, colors and so much more. You will see the zoom modes, side by side pages, and panels that can dock outside the application for the ultimate editor comfort.
Step 3: Structure (XML without knowing XML)
Are you and XML expert? Well you don’t need to be, as you will see PDE has taken XML out of the screen and created an engine that tags everything behind the scenes. Your manuals will be 100% structured and tagged and you will never have to see a < or a />. Smart structures delivered by custom templates only allow the writer to perform actions that are allowed.
Step 4: Editing (Paragraphs, Lists, Hyperlinks, Tables and Images)
You will see the simple editing features in a ‘What You See Is What You Get’ (WYSIWYG) editor. Tables, Figures, List items and more are pre-configured with a host of features. Keep source documents stored and linked in the repository for quick retrieval on the next revision. PDF image printing is supported to allow high resolution images to pinch and zoon without pixilation.
Step 5: Front Matter
Fully automated front matter; Binder covers, Master Table of Contents, Version History/Highlights, List of Effective Pages, Abbreviations and Definitions: each with hyperlinks and controls to meet and exceed regulatory requirements.
Step 6: Reusable Text
As you will see, now that you are building your manuals from a true document repository take any text/image and use it or link it to other locations in the same manual or other manuals within PDE. The system creates a smart hyperlink between the shared content and alert other manual owners when actions need to be taken.
Step 7: Revision (control with auto Rev Bars/Highlights)
The demo will show how you have full revision control of your manuals: no accidental saving over current approved versions, no multiple copies of draft documents. PDE creates a new revision and tracks all changes that are made. Automated rev bars appear while changes are being made. Every revision creates a revision tag on which you can describe the reason for change. Revision Highlights created and updated per revision bar leave the guess work out of why changes were made.
Step 8: Tagging (IOSA, Internal etc.)
As you will see PDE comes with built-in tagging capabilities. Download an IOSA checklist and tag answers directly to the manual. The tagged paragraphs get locked and secured providing peace of mind when audit time is here. Tagging options are available for internal audit findings, LOIs, and more.
Step 9: Delivery
Finally, the IDMR experts will show you how to publish and deliver your manuals. As you will see, a published manual is available in multiple formats. PDF, XML and HTML.
